Administrative Specialist III

The Twelfth Judicial Circuit is seeking an Administrative Specialist III to join our Citizen Dispute Settlement Program (CDSP) in Venice. In this role, you'll provide vital administrative support to the courts and CDSP, working closely with volunteer mediators, court participants, and judges. From managing case files and compiling statistics to coordinating special programs, training, and public outreach, you'll play a key role in helping the program run smoothly and effectively.

This position also provides support to the Family and Civil Case Managers and Domestic Violence Coordinator, requiring strong collaboration with judges, attorneys, court staff, referral sources, and the public. About the Role

In this role, you will:

  • Schedule and coordinate pre-filing mediations (including Family Pre-filing) and oversee volunteer mediators.
  • Review and analyze contracts and related documents; communicate with parties to encourage voluntary participation in mediation.
  • Facilitate small claims court proceedings and assign volunteers to mediate cases.
  • Schedule, coordinate, and mediate county court cases; draft settlement agreements, court orders, or impasse reports.
  • Prepare orders for county court judges and provide back-up family and civil case management support, including temporary injunction hearings and domestic violence cases.
  • Assist with courthouse administrative duties, including Court Administration support and microphone checks.
  • Handle administrative functions such as monitoring referrals, compiling data/statistics, preparing reports, coordinating and presenting training, attending continuing education, and program outreach.
  • Support the North County Program Director and provide coverage for judges during small claims pre-trials, along with other duties as assigned.

About the Schedule

Work Hours:

  • Full-time, 40 hours per week.
  • Typical Schedule: Monday - Friday, 8:00 a.m. to 5:00 p.m. (no weekends!)

About You

To be considered for this role, you must have the following:

  • Associate's degree from an accredited college or university with 4-6 years of clerical or administrative experience (with some executive exposure).
  • OR: 6+ years of related clerical or administrative experience (with some executive exposure) may substitute for the education requirement.
  • Valid Florida driver's license by date of hire.
  • Must become a Florida Supreme Court-certified county mediator and Florida Supreme Court-certified assistant trainer within one (1) year of hire.

The ideal candidate has the following knowledge, skills, and/or abilities:

  • Knowledge of the judicial system and use of basic office equipment.
  • Certification as a Florida Supreme Court-certified county mediator and/or Florida Supreme Court-certified assistant trainer.
  • Effective and concise written and oral communication with an ability to interact with individuals from various socio-economic, ethnic, and cultural backgrounds.

Subject to Passing Substance Screening: This position is subject to passing a pre-employment substance screening. An applicant who fails to pass a required drug screening test shall be disqualified from employment for a period of five years.

Physical Demands: Employees in this role must occasionally lift and/or move up to 25 lbs.

CJIS Clearance: The successful candidate will be subject to an extensive background check(s) as part of the hiring process.
