Job Title: Payroll Coordinator
\nLocation: San Rafael, CA
\nTemp to hire
\nPayrate: $35- $40 per hour DOE.
\nWorking 3 days onsiite and 2 days remote
\n
\nThe Payroll Coordinator is responsible for executing all aspects of payroll processing and reporting. This includes handling payroll for multiple employer entities, managing multi-state union and non-union payrolls with varying pay frequencies.

Primary Objectives

\n\n
    \n\t
  • Ensure timely and accurate full-cycle payroll processing, including data entry, auditing, and distribution.\n\t
  • Validate processing results according to payroll tax laws, collective bargaining agreements, and corporate policies.\n\t
  • Prepare and complete reporting, manage administrative processes, conduct data reconciliation, and participate in quality and process improvement initiatives.\n\t
  • Deliver effective client support, communication, and issue resolution.\n

Duties and Responsibilities

  • Perform full-cycle payroll processing, data entry, validation, reconciliation, and auditing for all assigned payrolls using an integrated HRIS/Payroll system.\n\t
  • Accurately enter, validate, and process employee time and attendance records.\n\t
  • Execute authorized data changes with required documentation, ensuring compliance with company policies, collective bargaining agreements, and applicable laws.\n\t
  • Conduct regular audits to verify accurate tax calculations, wage processing, benefit limits, and tax-related reporting; compare results to expected outcomes.\n\t
  • Monitor and validate accrual records for paid time benefits.\n\t
  • Prepare, reconcile, and distribute data reports using payroll and timekeeping system reporting tools.\n\t
  • Maintain accurate electronic and physical files.\n\t
  • Provide reporting, metrics, analysis, and research to management as needed.\n\t
  • Manage compliance with wage garnishment orders.\n\t
  • Process and reconcile invoices and payment requests, including those related to benefits, retirement plans, and union dues.\n\t
  • Communicate with and support employees and managers using corporate systems for timesheet submission and wage and tax statement access.\n\t
  • Respond to requests, inquiries, and correspondence from employees and managers.\n\t
  • Provide written and verbal instructions to employees on using payroll systems, including timesheet entry and online pay statement access.\n\t
  • Respond promptly to phone calls, email messages, and inquiries from employees and vendors, supporting departmental service level commitments.\n\t
  • Regularly review and recommend improvements to processes and controls for efficient processing and audit-ready documentation.\n\t
  • Create, test, and maintain work instructions to meet Quality System requirements.\n\t
  • Assist with special projects, audits, and data requests as assigned.\n\t
  • Perform other duties as needed.\n

Qualifications

Education

\n\n

  • High school diploma or equivalent (HSED) required.\n\t
  • Associate degree in Business, Finance, Accounting, or related coursework preferred.\n
\n\n

Licenses

\n\n
    \n\t
  • Certified Payroll Professional (CPP) or equivalent certification preferred.\n
\n\n

Work Experience

\n\n
    \n\t
  • 2+ years of recent payroll processing experience required.\n\t
  • Experience with union and multi-state payrolls preferred.\n\t
  • Experience with audits and analytics preferred.\n\t
  • Experience with UKG/UltiPro, ADP Workforce Now HR/Payroll, and Kronos Workforce Ready systems strongly preferred.\n

Required Knowledge, Skills, and Abilities

\n\n
    \n\t
  • Solid understanding of payroll processing concepts and procedures, including audit practices.\n\t
  • Basic knowledge of federal and state wage and tax calculation requirements and wage attachment processing.\n\t
  • Proficiency in payroll processing and timekeeping software, including reporting functionality.\n\t
  • Ability to manage priorities, deliverables, and escalate problems appropriately.\n\t
  • Proficient in Microsoft Office, with intermediate skills in Excel, Word, and Outlook.\n\t
  • Strong quantitative and analytical thinking skills, with the ability to trace and resolve transaction issues.\n\t
  • Excellent verbal and written communication skills.\n\t
  • Ability to handle confidential and sensitive data appropriately.\n
